We expect the same commitment from our suppliers, subcontractors, and business partners. This Supplier Code of Conduct sets out the minimum standards we require from everyone in our supply chain. By working with All Services 4U, suppliers agree to comply with this Code and to ensure their own suppliers and subcontractors do the same.

Our Expectations

We expect all suppliers to:

  1. Comply with Laws — Meet all applicable legal and regulatory requirements
  2. Act Ethically — Conduct business with honesty and integrity
  3. Protect People — Ensure the health, safety, and welfare of workers
  4. Respect Rights — Uphold human rights and fair labour practices
  5. Protect the Environment — Minimise environmental impact
  6. Maintain Quality — Deliver goods and services to the required standards
  7. Be Transparent — Communicate openly and honestly

Scope

This Code applies to:

  • All suppliers of goods and services
  • All subcontractors and their employees
  • Agents and intermediaries
  • Consultants and professional advisers
  • Any organisation working on our behalf

References to “suppliers” in this Code include all of the above.

Applicable Laws

Suppliers must comply with all applicable laws and regulations in the jurisdictions where they operate, including:

  • Employment and labour laws
  • Health and safety legislation
  • Environmental regulations
  • Anti-bribery and corruption laws
  • Data protection and privacy laws
  • Tax and financial regulations
  • Trade and customs laws
  • Industry-specific regulations

Licences and Permits

Suppliers must hold all licences, permits, and registrations required for their activities and provide evidence on request.

Regulatory Changes

Suppliers must monitor and respond to changes in applicable laws and regulations, informing us of any changes that may affect their ability to comply with this Code.

Ethical Conduct

Honesty and Integrity

Suppliers must:

  • Conduct business honestly and transparently
  • Provide accurate information in all dealings
  • Honour commitments and contractual obligations
  • Compete fairly and ethically
  • Avoid conflicts of interest

Anti-Bribery and Corruption

Suppliers must have zero tolerance for bribery and corruption.

Suppliers must not:

  • Offer, pay, or accept bribes in any form
  • Make facilitation payments
  • Offer excessive gifts or hospitality to influence decisions
  • Engage in kickbacks or secret commissions
  • Use agents or intermediaries to make improper payments

Suppliers must:

  • Have anti-bribery policies appropriate to their business
  • Train staff on anti-bribery requirements
  • Report any suspected bribery involving our business

Gifts and Hospitality

Suppliers must not offer gifts or hospitality to our employees that:

  • Could influence business decisions
  • Exceed modest value (generally under £25)
  • Are offered during tender or procurement processes
  • Are cash or cash equivalents

Modest business courtesies (e.g., working lunches) may be acceptable if transparent and reasonable.

Conflicts of Interest

Suppliers must:

  • Disclose any actual or potential conflicts of interest
  • Declare any relationships with our employees
  • Avoid situations where personal interests conflict with business obligations
  • Seek guidance if uncertain about a potential conflict

Fraud and Financial Crime

Suppliers must:

  • Maintain accurate financial records
  • Not engage in fraud, money laundering, or tax evasion
  • Report any suspected financial crime
  • Cooperate with investigations

Human Rights and Labour Standards

Fundamental Rights

Suppliers must respect the human rights of all workers and treat them with dignity.

Modern Slavery and Human Trafficking

Suppliers must not use forced, bonded, or compulsory labour.

Suppliers must:

  • Verify that workers are employed voluntarily
  • Not retain identity documents or require deposits
  • Allow workers to leave employment freely
  • Not use deceptive recruitment practices
  • Conduct due diligence on their own supply chains
  • Report any suspected modern slavery

Child Labour

Suppliers must not employ children below the legal minimum working age.

Suppliers must:

  • Verify the age of all workers
  • Not employ anyone under 16 in the UK (or local legal minimum)
  • Ensure young workers (16-18) are protected from hazardous work
  • Comply with all laws regarding young workers

Working Hours

Suppliers must ensure working hours are not excessive.

Suppliers must:

  • Comply with applicable working time regulations
  • Not require excessive overtime
  • Provide adequate rest periods and breaks
  • Respect workers’ right to time off

Fair Wages

Suppliers must pay fair wages.

Suppliers must:

  • Pay at least the legal minimum wage
  • Provide clear information on pay and deductions
  • Pay wages on time and in full
  • Not make unlawful deductions
  • Aspire to pay a living wage

Freedom of Association

Suppliers must respect workers’ rights to:

  • Join or form trade unions
  • Bargain collectively
  • Organise peacefully
  • Not suffer discrimination for union membership

Non-Discrimination

Suppliers must not discriminate in employment.

Suppliers must not discriminate based on:

  • Age
  • Disability
  • Gender reassignment
  • Marriage or civil partnership
  • Pregnancy or maternity
  • Race, ethnicity, or nationality
  • Religion or belief
  • Sex
  • Sexual orientation

Suppliers must:

  • Make employment decisions based on merit
  • Provide equal opportunities
  • Prevent harassment and bullying
  • Make reasonable adjustments for disabled workers

Harassment and Bullying

Suppliers must provide a workplace free from harassment and bullying.

Suppliers must not tolerate:

  • Physical or verbal abuse
  • Intimidation or threats
  • Sexual harassment
  • Discrimination or victimisation
  • Any conduct that creates a hostile environment

Health and Safety

Safe Working Environment

Suppliers must provide a safe and healthy workplace.

Suppliers must:

  • Comply with all applicable health and safety laws
  • Identify and control workplace hazards
  • Provide safe equipment and systems of work
  • Conduct risk assessments
  • Implement emergency procedures
  • Investigate incidents and near misses
  • Continuously improve safety performance

Competence and Training

Suppliers must ensure workers are competent.

Suppliers must:

  • Provide appropriate health and safety training
  • Ensure workers hold required certifications
  • Verify competence before assigning work
  • Supervise workers appropriately

Personal Protective Equipment

Suppliers must:

  • Provide appropriate PPE free of charge
  • Train workers on correct PPE use
  • Maintain PPE in good condition
  • Enforce PPE requirements

Fitness for Work

Suppliers must ensure workers are fit for work.

Suppliers must not allow workers to work if:

  • Under the influence of alcohol or drugs
  • Impaired by medication
  • Suffering from illness affecting safety
  • Too fatigued to work safely

Environmental Responsibility

Environmental Compliance

Suppliers must comply with all applicable environmental laws and regulations.

Environmental Management

Suppliers should:

  • Have environmental policies appropriate to their activities
  • Identify and manage environmental impacts
  • Set objectives for environmental improvement
  • Monitor and report environmental performance

Pollution Prevention

Suppliers must prevent pollution.

Suppliers must:

  • Prevent spills and releases to air, water, and land
  • Use appropriate containment and controls
  • Respond effectively to environmental incidents
  • Report incidents to us immediately

Waste Management

Suppliers must manage waste responsibly.

Suppliers must:

  • Minimise waste generation
  • Segregate waste correctly
  • Use licensed waste carriers and facilities
  • Maintain Waste Transfer Notes
  • Dispose of hazardous waste properly
  • Target recycling over landfill

Resource Efficiency

Suppliers should:

  • Use energy, water, and materials efficiently
  • Seek to reduce consumption
  • Consider lifecycle impacts
  • Prefer sustainable materials where possible

Carbon and Climate

Suppliers should:

  • Measure and reduce greenhouse gas emissions
  • Support transition to low-carbon operations
  • Consider climate impacts in decisions
  • Work towards Net Zero where possible

Hazardous Materials

Suppliers must manage hazardous materials safely.

Suppliers must:

  • Identify and label hazardous materials
  • Store materials safely
  • Handle materials according to regulations
  • Dispose of materials correctly
  • Provide safety data sheets

Quality and Performance

Suppliers must deliver goods and services that meet our requirements.

Certifications

Where required, suppliers must hold and maintain relevant certifications:

Suppliers must provide evidence of certifications on request.

Right First Time

Suppliers must aim to deliver right first time.

Suppliers must:

  • Understand requirements before starting work
  • Plan and prepare adequately
  • Use competent workers
  • Check work before completion
  • Rectify defects at their own cost

Documentation

Suppliers must provide required documentation.

This may include:

  • Certificates and test results
  • Risk assessments and method statements
  • Training records and competency cards
  • Insurance certificates
  • Delivery notes and warranties
  • Waste transfer notes

Data Protection and Confidentiality

Data Protection

Suppliers must protect personal data.

Suppliers must:

  • Comply with UK GDPR and Data Protection Act 2018
  • Only process personal data as authorised
  • Implement appropriate security measures
  • Report data breaches immediately
  • Not transfer data internationally without approval
  • Delete or return data when no longer needed

Confidentiality

Suppliers must protect confidential information.

Suppliers must:

  • Keep our information confidential
  • Use information only for agreed purposes
  • Not disclose information to third parties
  • Return or destroy information when required
  • Apply equivalent obligations to their own staff and subcontractors

Information Security

Suppliers with access to our systems or data must:

  • Implement appropriate security controls
  • Protect against unauthorised access
  • Report security incidents immediately
  • Comply with our IT security requirements

Business Continuity

Resilience

Suppliers should have arrangements to maintain service during disruptions.

Suppliers should:

  • Identify risks to continuity

  • Maintain adequate resources
  • Communicate proactively about potential disruptions

Insurance

Suppliers must maintain appropriate insurance.

Minimum requirements:

Higher limits may be required for specific contracts. Suppliers must provide certificates on request.

Supply Chain Management

Sub-Tier Suppliers

Suppliers are responsible for their own supply chains.

Suppliers must:

  • Communicate this Code to their suppliers
  • Ensure sub-tier suppliers meet equivalent standards
  • Monitor compliance in their supply chain
  • Address non-compliance promptly
  • Not use subcontractors for our work without approval

Transparency

Suppliers must be transparent about their supply chains.

Suppliers must:

  • Disclose subcontractors working on our contracts
  • Provide supply chain information on request
  • Notify us of significant changes
  • Allow visibility where required for compliance

  • Cooperate with audits and assessments

Monitoring and Compliance

Self-Assessment

Suppliers may be asked to complete self-assessment questionnaires on their compliance with this Code.

Audits

We reserve the right to audit supplier compliance.

Audits may include:

  • Document review
  • Site visits
  • Worker interviews
  • Record inspection
  • Third-party audits

Suppliers must cooperate with audits and provide access as required.

Corrective Action

If non-compliance is identified:

  1. We will discuss findings with the supplier
  2. The supplier must develop a corrective action plan
  3. The supplier must implement actions within agreed timescales
  4. We will verify completion
  5. Repeated or serious non-compliance may result in termination

Consequences of Non-Compliance

Non-compliance with this Code may result in:
